Zasady rozliczenia „green travel” dla pracowników w ramach projektów Erasmus+ KA131

  1. Ekologicznymi środkami komunikacji uznawanymi w programie Erasmus+  są: autobus, pociąg, rower, a także carpooling (wspólna podróż osób na tej samej trasie i w tym samym celu, samochodem jednego ze współpasażerów). Podróż innymi środkami komunikacji nie spełnia tych warunków.
  2. Pracownicy mogą ubiegać się o ryczałt na koszty podróży, wynikający z realizacji podróży niskoemisyjnymi środkami transportu (tzw. „green travel”), jeśli podróż taka przebiega na ponad połowie realizowanej trasy (na jej większej części), licząc podróż w obie strony. Osoby takie składają w DSM deklarację o planowanym przebiegu podróży ze wskazaniem środka lokomocji (Załącznik nr 1). Deklaracja następnie jest przekazywana prorektorowi właściwemu ds. współpracy międzynarodowej w celu uzyskania zgody.
  3. Realizacja zagranicznego wyjazdu służbowego samochodem prywatnym lub służbowym wymaga zgody prorektora właściwego ds. współpracy międzynarodowej (Załącznik nr 2). We wniosku należy wymienić współpasażerów jadących w to samo miejsce oraz w tym samym celu. Wniosek należy złożyć z deklaracją w DSM razem z deklaracją określoną w załączniku nr 1.
  4. W uzasadnionych przypadkach pracownik może ubiegać się o dodatkowe wsparcie indywidualne na koszty utrzymania na maksymalnie dodatkowe 4 dni w podróży (łącznie w obie strony). W tym celu należy złożyć wniosek o dodatkowe dofinansowanie (Załącznik nr 3).
  5. Liczba przyznanych dodatkowych dni na podróż (w jedną stronę) jest zależna od odległości dzielącej siedzibę US oraz siedzibę instytucji przyjmującej, liczonej za pomocą kalkulatora on-line dostępnego pod adresem internetowym Komisji Europejskiej (KE): http://ec.europa.eu/programmes/erasmus-plus/tools/distance_en.htm, według następującego rozdzielnika:

  6. Dodatkowe dofinansowanie z tytułu „green travel”, jeśli zostanie przyznane, będzie wypłacone wraz z pozostałymi komponentami stypendium Erasmus+.
  7. Deklarowany sposób lub czas podróży potwierdzany jest po powrocie poprzez złożenie w DSM oświadczenia o odbyciu podróży „green travel” (Załącznik nr 4), wraz z wymienionymi w oświadczeniu dowodami.
  8. Jeśli podróż nie zostanie potwierdzona w wyżej wymieniony sposób, pracownik zostanie wezwany do zwrotu kwoty wynikającej z uprawnień „green travel”.

Settlement rules of „green travel” for employees within the Erasmus+ KA131 projects

  1. Buses, train, bicycle, and carpooling (a shared travel by car, belonging to one of the passengers, on the same route and with the same goal) are considered by the Erasmus+ programme to be ecological means of transportation. Travel by any other means of transportation does not meet those criteria.
  2. Employees can apply for a lump sum for travel costs resulting from using low-emissions means of transportation (so-called „green travel”) if the main part of the travel (more than a half of the return route) is made with such means. Such persons shall submit to the IRD a declaration of the planned itinerary indicating the means of transportation (Attachment no. 1). The declaration is then forwarded to the vice-rector responsible for international cooperation for approval.
  3. Realization of an international business trip with a private or business car has to be approved by the vice-rector responsible for international cooperation (Attachment no. 2). The request has to include all the co-passengers travelling to the same place and with the same goal. The request is to be submitted, along with the declaration determined in Attachment no. 1, to the IRD.
  4. In justified cases an employee can apply for an additional individual support for subsistence allowance for up to 4 days of travel (in total for round trip). In order to do so, they have to submit a request for additional co-financing (Attachment no. 3).
  5. Number of granted additional travel days (in one way) depends on the distance between the seat of the US and the seat of the host institution, calculated with the help of the on-line calculator available at the website of the European Commission (EC): http://ec.europa.eu/programmes/erasmus-plus/tools/distance_en.htm, according to the following distribution list:

  6. Any additional co-financing due to „green travel”, if granted, will be paid along with other Erasmus+ scholarship components.
  7. The declared means or time of travel is confirmed after return by submitting in the IRD a statement of realizing „green travel” (Attachment no. 4), along with the proofs listed in the statement.
  8. If the travel is not confirmed in the above-mentioned manner, the employee will be requested to reimburse the amount resulting from the „green travel” entitlements.
