Due to the dynamic situation with the ongoing pandemic, the authorities of the University of Szczecin plan to make all the classes in the summer semester 2020/2021 online.
Also, no on-site events that will require on-site presence in Szczecin.

Annex no. 2

In accordance to the University authorities decision regarding the organization of classes of the upcoming summer semester (classes will be provided only in on-line form without hosting the students in Szczecin), the following changes are introduced to the formal procedures concerning students applying for the summer semester 2020/2021:

  1. How to apply:
  1. European health insurance card (EHIC) or any private health insurance is not required.
  2. Acceptance e-mail/letter for visa requirements will not be issued.
  1. On your arrival:
  1. Student arrival will not be recognised by the International Office, a Welcome Day or other social/welcoming events will not be organized.
  2. Coordinators’ Signatures on documents (e.g. LA during the mobility) should be obtained via e-mail. The documents with original signatures will be sent to partner university upon request.
  1. Before your leave – procedure concerning the examination sheet:
  1. Students should ask all their teachers with whom they have exams to send them via email:
    • title of the course,
    • number of ECTS,
    • your grade.
  2. Print screens of all those emails (with the visible email address of the sender!) should be uploaded using the DreamApply individual account.
  3. Emails not including the information mentioned above will not be accepted.
  4. The task Examination sheet in the system should be marked by the student as completed (‘I have already uploaded a scan of my examination sheet’).
  5. On the basis of the above-mentioned emails, a responsible person at the International Office will fill out the section AFTER THE MOBILITY of the student’s Learning Agreement, which will be sent to student and partner university after the formal end of the semester (first via email and then the original will be sent directly to partner university). Note that no additional documents will be issued to confirm the student’s study period. The dates of the student’s study period are the start and the end dates of the semester.

Other conditions remain unchanged.

How to apply

Application procedure
The first step when applying for a study period at the University of Szczecin is when the HEI (higher education institution) partner sends the nomination of the selected students. The nomination (download  Nominations template) should be sent via e-mail to the person responsible for incoming students at the International Office (see: Contact Us section) and they should include student’s: name, surname, e-mail address, field of study. The next step for the selected students is to apply using the info sent by the IO.

Application documents
 On-line Application in the DreamApply system
The nominated students apply on-line with the use of the DreamApply system. Each nominated person receives a number that should be used as a reference code for application.
 Learning Agreement
The student should also prepare their Learning Agreement, the section BEFORE THE MOBILITY, which must be approved by the responsible person(s) at the home HEI, and then upload  it (the scanned version) into their DreamApply individual account. This section contains the following tables:

  1. Table A – courses that the student will take at the University of Szczecin;
  2. Table B – courses at the student’s home university which correspond to the courses in table A. 

The following items must be uploaded into the DreamApply account together with the Learning Agreement:

  • copy of student’s passport or identity card
  • European health insurance card (EHIC) or any private health insurance, valid for the entire period of study in Poland
  • English/other required language:
    • certificate confirming language competence at minimum B1 level (according to Common European Framework of Reference for Languages) issued by an accredited body.
    • OR a confirmation of placement test results at minimum B1 level (according to the Common European Framework of Reference for Languages) issued by the relevant unit at the home HEI.
    • OR the results of the Online Linguistic Support test (printscreen).
      This requirement does not apply to students nominated to study foreign languages at the Faculty of  Humanities.

Acceptance e-mail/letter
After the student has been successfully accepted by the Faculty/Doctoral School, an acceptance e-mail is sent to the student along with their LA approved by the Faculty/Doctoral School. The University of Szczecin can send acceptance letters for exchange students upon request, but only for visa requirements. The acceptance email is an official confirmation that the student has been accepted to the University of Szczecin. The email/letter is necessary to apply for a residence permit or to start the visa procedure in the student’s home country.

Deadlines for nomination/application
For the winter semester:
Nomination no later than 30th April, application documents no later than 31st May
For the summer semester:
Nomination  no later than 30th November, application documents no later than 31st December.

On your arrival

Incoming students should notify the International Office and their student tutors about their arrival in advance.

At the beginning of each semester the International Office organizes a Welcome Day for all Erasmus+ programme incoming students. Students not attending the Welcome Day should register at the International Office at their earliest convenience:

No confirmations of arrival in paper form will be filled and/or issued to the student’s home university. Student’s arrival can only be confirmed via email on the request of the student or the partner university.

Making changes to the Learning Agreement:

  1. Students are allowed to make changes to their LAs within 3 weeks from the beginning of each semester, if not specified otherwise by the hosting Faculty/Doctoral School. Any changes made after this time will not be approved by the responsible person(s) at the University of Szczecin;
  2. Changes can be made in the section DURING THE MOBILITY (only!). This section should be filled on the basis of the section “Before the mobility”.
The section contains the following tables:
  • Table A2 – courses that the student wants to add or delete from the list in table A;
  • Table B2 – courses at the student’s home university which correspond to the added courses in table A2.
  1. After filling in the section “DURING THE MOBILITY”, the student should have it signed by the relevant International Exchange Coordinator at the University of Szczecin, as well as by a responsible person at the student’s home university and then upload the document using their DreamApply individual account.

Extension of the mobility period:
If a student wants to extend their mobility period in Szczecin, they have to fill the Extension of short-term studies as an ERASMUS+ student, Academic Year 2020/2021 and have it signed by the relevant International Exchange Coordinator at the University of Szczecin, as well as by a responsible person at the student’s home university. The student should also prepare a new LA, the section BEFORE THE MOBILITY, including only the subjects for the summer semester and have it signed by the relevant International Exchange Coordinator at the University of Szczecin, as well as by a responsible person at the student’s home university.

The above-mentioned documents (the scanned versions) should be uploaded into their DreamApply individual account before 15th December 2020 .

Before you leave

Once the student has completed all their courses and knows the results of their exams, they should fill in the Examination sheet with all the courses that are to be included in the recognition outcomes. It should include the title of the course, the number of ECTS credits, the local grade, the name and the signature of the teacher, and stamp and signature of the relevant International Exchange Coordinator. The Examination sheet should then be uploaded into the student’s DreamApply individual account.
The examination sheet should be downloaded from the IO website (download Examination sheet template).
Examination sheets not including the information mentioned above will not be accepted.
On the basis of the above-mentioned examination sheet, a responsible person at the International Office will fill out the section AFTER THE MOBILITY of the student’s Learning Agreement. Note that no additional documents will be issued to confirm the student’s study period. The dates of the student’s study period are the start and the end dates of the semester.

In case of students accommodated  in one of the University of Szczecin dormitories, their ATM will be issued once the student has checked out from the dormitory without due payments.

The first step when applying for a study period at The University of Szczecin is when the partner HEI (higher education institution) sends the nomination of the selected students. The nomination should be sent via e-mail to the person responsible for incoming students at the International Office (see: Contact Us section) and they should include student’s: name, surname, sex, field of study, cycle of study, department and the semester chosen at the University of Szczecin, e-mail address. The next step is for the selected students to send us their application documents.

Application Form
To complete the Application Form the student should first download it from the website (Application form). Then, this document should be filled in using BLACK PRINTED letters and sent ( the scanned version) to the International Office contact person for incoming students.(see: Contact Us section).

Learning Agreement (download)
The student should also prepare their Learning Agreement, which must be approved by the responsible person(s) at the home HEI, and then send it (the scanned version) to the International Office contact person for incoming students (see: Contact Us section).It is important that not to make any changes to one’s signed LA, the section BEFORE THE MOBILITY, after arrival. This sections contains the following tables:

  1. Table A – courses that the student will take at the University of Szczecin;
  2. Table B – courses at the student’s home university which correspond to the courses in table A.

Before you leave

On the basis of the above-mentioned examination sheet, a responsible person at the International Office will fill out the section AFTER THE MOBILITY of the student’s Learning Agreement.
The end date of the student’s study period is calculated as follows: last examination date + max. two weeks added upon student’s request, but no later than the end of the semester.

After every 15–week semester, the students are required to complete the semester and pass all the examinations required by the curriculum. Those students who did not pass all the examinations required in the given semester, are allowed to repeat the examinations they did not pass; this means that every student is allowed to take every examination twice. A student is allowed not to take the examination on the first set date, but in such a case s/he loses the chance of taking the examination again in case of failure.

At the University the following marking system is used:
